How to Ship Fragrance Decants Safely

How to Ship Fragrance Decants Safely

Shipping fragrance decants is part art, part science. Liquid in glass, traveling through postal systems, exposed to pressure changes and rough handling — a lot can go wrong. But with the right supplies and technique, you can ship decants confidently every time. Here's the complete guide.

Start With the Right Bottle

Not all bottles are created equal for shipping. Square glass bottles with secure screw caps are the most reliable option — they seal tightly, resist pressure changes, and don't flex or crack under normal shipping conditions. Avoid bottles with loose-fitting caps or thin walls.

For very small shipments, 2ml or 3ml plastic snap cap spray bottles are a lightweight alternative that travel well.

Seal Every Cap Properly

This is the most critical step. Even a well-fitting cap can loosen in transit. Two-layer sealing is the standard:

  1. PTFE Plumbers Tape (first layer) — wrap 2–3 times around the cap threads before screwing the cap on. This creates an airtight, leak-proof seal that holds even if the cap loosens slightly.
  2. Waterproof Electrical Tape (second layer) — wrap over the cap and down onto the bottle neck. This locks the cap in place and adds a clean, professional finish. Black or white tape both work well.

Label Before You Pack

Always label your decants before packing. Include the fragrance name, house, concentration, and volume on every bottle. Thermal sticker labels are ideal — they're waterproof, won't smudge, and adhere firmly even in humid conditions. If a package gets wet in transit, your labels will survive.

Pack for Impact

Bottles need cushioning on all sides. Here's the packing sequence:

  • Wrap each bottle individually in bubble wrap or tissue
  • Place wrapped bottles in a small zip-lock bag as a secondary leak barrier
  • Pack into a padded bubble mailer — our 6x9 white bubble mailers are the right size for most small decant shipments
  • Ensure bottles can't shift or knock against each other inside the mailer

Include a Personal Touch

A thank you label sticker on the outside of the package or inside the mailer goes a long way — especially for swap partners and customers. It signals care and professionalism, and it's the kind of detail people remember.

Know the Regulations

Fragrance contains alcohol, which classifies it as a flammable liquid for shipping purposes. USPS, UPS, and FedEx all have specific rules around shipping flammable liquids — ground shipping is generally required for larger quantities. For personal swaps and small decants, check current carrier guidelines before shipping.
